How to Write a Thank You Email After an Interview (With Templates)

The interview is over, you shook hands (or closed the video call), and now you are back at your desk wondering what to do next. The answer is simple: send a thank you email. This small gesture takes five minutes but can have an outsized impact on hiring decisions, especially when the choice comes down to two strong candidates.

Why Thank You Emails Still Matter

Some candidates assume thank you emails are outdated formalities. The data says otherwise. According to a survey by TopResume, 68% of hiring managers say that not receiving a thank you email negatively impacts their perception of a candidate. More importantly, 22% of hiring managers say they are less likely to hire someone who does not send one.

A thank you email accomplishes three strategic goals. First, it reinforces your interest in the role at a critical decision-making moment. Second, it gives you an opportunity to address anything you wished you had said during the interview. Third, it keeps your name at the top of the interviewer's inbox and mind as they deliberate.

When to Send It

The ideal window is within two to four hours after the interview. Same-day delivery is important because hiring teams often debrief immediately after interviews, and having your follow-up email arrive while your conversation is still fresh can influence that discussion.

If your interview was in the afternoon and you cannot send it the same day, first thing the next morning is acceptable. Beyond 24 hours, the impact drops significantly.

The Perfect Structure

A strong thank you email follows a simple four-part structure:

Opening: Thank the interviewer for their time and reference something specific from the conversation.

Value reinforcement: Briefly reiterate why you are a strong fit for the role, connecting your skills to a specific need discussed during the interview.

Address a gap (optional): If there was a question you struggled with or a topic you wish you had elaborated on, this is your chance to provide a better answer.

Closing: Express enthusiasm for the next steps and make it easy for them to respond.

Template: Addressing a Weak Answer

Subject: Thank you — and a follow-up thought

Dear [Name],

Thank you for the great conversation today about the [Job Title] position. I have been reflecting on our discussion, and I wanted to circle back on [the question or topic you want to address].

During our conversation, I mentioned [your original answer]. On further reflection, I think a more complete answer would be [your improved response]. In my previous role at [Company], I [specific example that better answers the question], and that experience would translate directly to [the challenge or situation discussed].

I appreciate the thoughtful questions and remain very enthusiastic about the opportunity. Please let me know if there is anything else I can provide.

Best regards, [Your Name]

What to Avoid

Generic messages. "Thank you for the interview, I look forward to hearing from you" adds no value. If your email could apply to any interview at any company, it is too generic.

Excessive length. Keep it under 200 words. Hiring managers are busy, and a lengthy email will not be read carefully.

Desperation. Phrases like "I really need this job" or "I would do anything to work here" damage your positioning. Confidence and professionalism are always more effective.

Errors. Triple-check the interviewer's name, the company name, and the job title. A misspelled name in a thank you email is worse than not sending one at all.

Following up too aggressively. One thank you email is appropriate. Sending multiple follow-ups before you hear back comes across as pushy.

The Bottom Line

A thank you email is not just good manners; it is a strategic tool. It reinforces your candidacy, demonstrates professionalism, and gives you one last chance to make an impression before the hiring decision is made. Send one after every interview, personalize it, keep it concise, and send it quickly. It takes five minutes and can be the difference between an offer and a rejection.
