Your resume is your first impression with a potential employer, and unfortunately, most job seekers are making critical mistakes that get their applications rejected before a human even reads them. After reviewing thousands of resumes as a career coach, I have identified the ten most damaging errors and exactly how to fix each one.

1. Using a Generic Resume for Every Application

The single biggest mistake job seekers make is sending the same resume to every employer. Recruiters can spot a generic resume immediately, and it signals that you are not genuinely interested in the role. Each job posting has specific requirements, and your resume needs to mirror that language.

The fix is straightforward: for each application, review the job description carefully and adjust your professional summary, skills section, and bullet points to reflect the keywords and qualifications mentioned. This does not mean fabricating experience. It means emphasizing the parts of your background that are most relevant to each specific role.

2. Burying Your Most Impressive Achievements

Recruiters spend an average of 6-7 seconds on their initial resume scan. If your strongest qualifications are buried on page two or hidden in the middle of a dense paragraph, they will never be seen. Your resume needs to lead with impact.

Place your most impressive metrics and achievements in your professional summary and at the top of each work experience section. Use the formula: Action verb + specific task + quantified result. For example: "Increased quarterly revenue by 32% by redesigning the customer onboarding workflow and implementing automated follow-up sequences."

3. Writing Job Descriptions Instead of Achievements

One of the most pervasive resume mistakes is listing what you were responsible for rather than what you actually accomplished. Phrases like "Responsible for managing a team" or "Duties included customer service" tell a recruiter nothing about your effectiveness.

Transform every bullet point from a responsibility into an achievement. Instead of "Managed a team of five sales representatives," write "Led a team of five sales representatives to exceed quarterly targets by 18%, earning the Top Team award for three consecutive quarters." The difference is dramatic, and it is what separates candidates who get interviews from those who do not.

4. Ignoring ATS Compatibility

Approximately 75% of resumes are rejected by Applicant Tracking Systems before a recruiter ever sees them. These automated systems scan for specific keywords, formatting standards, and file structures. If your resume uses tables, text boxes, headers and footers, or unusual fonts, the ATS may not be able to parse your content correctly.

Stick to a clean, single-column layout with standard section headings like "Work Experience," "Education," and "Skills." Use a standard font like Arial, Calibri, or Garamond. Avoid embedding important information in images or graphics, because ATS software cannot read them.

5. Including an Objective Statement Instead of a Professional Summary

Objective statements like "Seeking a challenging position where I can utilize my skills" are outdated, self-focused, and take up valuable space. Employers want to know what you bring to the table, not what you hope to get from them.

Replace your objective with a professional summary that is two to three sentences long and highlights your experience level, key skills, and a signature achievement. Think of it as your elevator pitch: "Results-driven marketing manager with 8 years of experience in B2B SaaS. Grew organic traffic from 50K to 400K monthly visitors through content strategy and SEO optimization. Proven track record of building and leading cross-functional teams."

6. Poor Formatting and Visual Hierarchy

A cluttered, inconsistent, or visually overwhelming resume creates cognitive friction that causes recruiters to move on. Common formatting sins include using multiple font styles, inconsistent spacing, walls of unbroken text, and margins that are either too wide or too narrow.

Maintain consistent formatting throughout your document. Use one font for headings and one for body text. Keep your margins between 0.5 and 1 inch. Use bold strategically for section headers and job titles, and ensure adequate white space between sections. The goal is a document that is easy to scan in under ten seconds.

7. Making Your Resume Too Long or Too Short

A resume that is three or four pages long signals that you cannot prioritize information, which is a red flag for most roles. Conversely, a resume that is barely half a page suggests a lack of relevant experience.

The standard guideline is one page for early-career professionals with fewer than ten years of experience, and two pages for senior professionals, executives, or those with extensive technical portfolios. Every line should earn its place. If a bullet point does not demonstrate a skill, achievement, or qualification relevant to your target role, remove it.

8. Leaving Out Quantifiable Results

Numbers are the language of impact on a resume. Without them, your achievements feel abstract and unverifiable. Recruiters are trained to look for metrics, and their absence makes your claims less credible.

Wherever possible, quantify your accomplishments with percentages, dollar amounts, time frames, or volume metrics. "Improved customer satisfaction" becomes "Improved customer satisfaction scores from 72% to 94% within six months, reducing churn by 15%." Even if you do not have exact numbers, reasonable estimates are better than no numbers at all.

9. Including Irrelevant Personal Information

In many countries, it is unnecessary and potentially harmful to include your age, marital status, photograph, or full home address on a resume. This information can introduce unconscious bias into the screening process and takes up space that could be used for relevant qualifications.

Include only your name, phone number, email address, LinkedIn profile URL, and city or metro area. If the role is remote, you can note "Open to remote" or include your time zone instead of a physical location.

10. Typos and Grammatical Errors

This might seem obvious, but spelling and grammar mistakes remain one of the top reasons recruiters reject resumes. A single typo signals carelessness, and in a competitive job market, that is enough to move your application to the rejection pile.

Proofread your resume at least three times using different methods: read it aloud, use a grammar-checking tool, and have a trusted friend or colleague review it with fresh eyes. Pay special attention to company names, job titles, and technical terms, as spell checkers often miss errors in proper nouns and specialized vocabulary.

Your resume is a marketing document, and every element should be intentional.
